What should a business voicemail greeting say?
A good business voicemail greeting says four things in under about 30 seconds: the business name, that you can't take the call right now, exactly what to leave (name, number and the reason for the call), and when you'll call back. Add your opening hours or website if they save the caller a second call — and if you run a clinic, tell callers where to turn in an emergency before anything else. Record it slowly and clearly, and re-record it whenever your hours change.

How to record a voicemail greeting callers listen to
- Keep it to about 20–30 seconds: everything before the tone is time the caller spends waiting.
- Say the business name in the first sentence, so callers know they dialled the right number.
- Tell callers exactly what to leave — name, number, reason — so you can call back prepared.
- Only promise a callback time you will actually keep.
- Speak slowly and evenly, and say phone numbers and web addresses at half speed. It helps every caller, and especially anyone hard of hearing or speaking a second language.
- Re-record whenever something changes — hours, staff, holidays. An out-of-date greeting tells callers nobody checks the line.
