Every listing enquiry gets answered — even mid-viewing
A Hebrew voice agent that answers enquiries from your listings, checks budget, area and timeline, books a viewing, and hands the right agent a lead with the details already captured.
The short answer
How does a real estate office stop losing leads from phone enquiries?
A real estate office stops losing leads when an AI agent answers every listing enquiry immediately — while the agent is mid-viewing, driving, or off for the day. A buyer calls several listings in a row and talks to whoever picks up first, so instant answering is the difference between a lead and a call that went to a competitor. The agent identifies which property the call is about, checks budget, area, timeline and financing status, books a viewing, and routes to the right human agent — with a transcript, a summary and every captured field attached.
What happens today
- A buyer dials five listings in a row and talks to whoever answered first — everyone else is out
- The hottest call comes in exactly when you are mid-viewing with another client
- Enquiries in the evening and on Saturday, when people actually search for a home, go unanswered
- Callers do not remember the listing number, and the call is spent identifying the property instead of the need
- Most enquiries are not a fit — wrong budget, wrong area — and the filtering eats the agent's day
How it sounds
Hi, you have reached the real estate office. I am the digital assistant. Happy to help — which property are you calling about, or which area are you looking in?
What the agent captures
- Full name and a callback number
- The property or listing number they are calling about
- Buyer, renter, or an owner looking to sell
- Budget range, preferred areas and number of rooms
- Timeline and financing status — pre-approval, a property to sell first
- Possible viewing times and preferred follow-up channel
Common use cases
Speed of answer is the whole game
In real estate a lead is not lost — it moves to somebody else. A buyer reading several listings calls all of them, and the first to answer books the viewing. The agent answers instantly at any hour, talks to several callers at once, and keeps answering in the evening and at the weekend — by phone or on WhatsApp.
- Instant 24/7 answering, including simultaneous calls
- A dedicated number per campaign or listing, so the source is identified
- The same agent on WhatsApp for enquiries that come in as text
- Warm transfer to whichever agent is free, including dialling an extension
Qualifying before anyone wastes a drive across town
Not every enquiry deserves a viewing. The agent asks the questions that decide it — budget, area, size, timeline, whether there is a mortgage pre-approval, whether a property has to be sold first — and marks for the human agent how ready the lead is. A caller who does not fit this property gets matched to another or added to a follow-up list, instead of vanishing.
- A qualification script you define, per property type
- Upload your inventory as CSV or Excel and the agent filters and enumerates it on the call
- Viewing booked against the calendar through a connected tool
- Outbound calls to follow up with buyers and re-engage old enquiries
A returning buyer who does not start over
The agent recognizes a caller by phone number and can recall earlier conversations — what they were looking for, the budget they gave, which property they saw. The second call sounds like a continuation rather than a fresh form, which is the difference between an office that sounds professional and one that forgets its clients.
Every lead lands in the CRM with everything that was said
Every call ends as one record: recording, transcript, summary, sentiment and the captured fields. You can push it out through the REST API, signed webhooks, or as activity write-back to Salesforce and HubSpot, so the lead shows up on the right agent's desk without anyone retyping it.
- REST API and signed webhooks for every call event
- Activity write-back to Salesforce and HubSpot
- Summary, sentiment and escalation reason on every call
- Identifying data masked in transcripts per your policy
Frequently asked
How does the agent know which property the caller is asking about?
Two ways: by the number they dialled, if you assigned a dedicated number to that campaign or listing, and by asking directly at the start of the call. You can also upload your inventory as a CSV or Excel file — the agent then filters by area, price or room count and enumerates the actual matches instead of guessing.
Can the agent book a viewing in our calendar?
Yes, once you connect your calendar or scheduling system as a tool. It checks availability, books the viewing and confirms out loud to the caller. If no calendar is connected it collects the possible times and hands them to the human agent to finalize — it will not promise a slot that was not actually booked.
What happens when a caller insists on speaking to a human agent?
It transfers. You can configure a transfer to a number, to a specific agent's extension or to whoever is on duty, and the request itself is stored as the escalation reason on the conversation. If the transfer fails — nobody picks up on the other side — the agent goes back to taking details and arranging a callback, so the caller is never left hanging.
Can the agent also make outbound calls to an old lead list?
Yes. The same agent places outbound calls over real phone lines, so you can run a pass over enquiries that never closed, check whether they are still looking and refresh their details. Each of those calls is recorded exactly like an inbound one and written back into your lead system.
