    Missed call callback script

The sooner you call back, the more likely they still need you. Here's what to say when you do.

    The short answer

What do you say when you call back a missed call?

Open with the business name and the reason, because the person may not remember calling: "Hi, this is [Your name] from [Business name]. We missed a call from this number [this morning], so I'm calling you back. How can I help?" Then treat it like a new inbound call: listen, answer, and book or take the details. Apologize once for missing them, not repeatedly. If you reach voicemail, leave your name, the business and a way to reach you.

    The full script

A missed call that turns into a booking. Replace everything in square brackets.

You: Hi, this is [Your name] from [Business name]. We missed a call from this number [this morning / a few minutes ago], so I'm calling you back. Sorry we couldn't pick up.

Customer: Oh, yes, I called about [service].

You: Great, how can I help?

    Customer: [Request].

You: [Answer.] Would you like to book a time? I have [day] at [time] or [day] at [time].

    Customer: [Day] works.

You: Done. Can I get your name? And is this the best number for you?

    Customer: [Name], yes.

You: Thanks, [Name]. You're booked for [day] at [time]. See you then.

    Short version

You: Hi, it's [Business name] returning your call. How can I help?

    Customer: [Request].

You: [Answer or book.] Anything else?

If they ask "who is this?"

Customer: Who is this? I don't remember calling.

You: No problem. It's [Business name], [what you do, in a few words]. We had a call from this number [time]. If it wasn't you, sorry to bother you.

Customer: Oh, right, that was about [service].

You: Great, how can I help with that?

If they called to ask the price

Customer: I was calling to ask how much [service] is.

You: [Service] is [price / from [price], depending on [factor]]. Would you like to book, or should I text you the details?

    If they're frustrated nobody answered

Customer: I called three times and nobody answered.

You: I'm sorry, that shouldn't happen. I'm here now and I'll take care of it. What do you need?

    Customer: [Explains].

You: [Handle it.] And so you can reach us next time: [the best time to call / you can also book online at [website]].

    Voicemail

You: Hi, this is [Your name] from [Business name], returning a call from this number. Sorry we missed you. Call us back at [phone number], or reply to the text I'm sending now, and we'll get you sorted. Thanks!

Tips for calling back missed calls

A missed call is a customer who wanted something from you a few minutes or hours ago. The faster and clearer the callback, the better the chance they still do.

    • Call back as soon as you can. The caller may already be calling someone else.
    • Open with the business name. A call from an unknown number gets screened.
    • Apologize once, then move on to what they need.
    • Send a text if they don't answer, so they have your name in writing.
    • Keep a list of missed calls and mark each one: reached, voicemail, booked.
    • Fix the cause. If you miss calls at the same times every day, that's where you need cover.

    How to adapt this script

    1. 1Decide who calls back and how fast, for example within the hour during opening hours.
    2. 2Fill in the placeholders, including a one-line description of what your business does.
    3. 3Write the text message you'll send when nobody answers.
    4. 4Set a limit, for example one callback and a text, then a second try the next day.
    5. 5Or stop missing them: forward only the calls you don't answer to a Daber AI agent, which answers them live while your phone still rings first.

    Questions

How fast should you return a missed business call?

As fast as you can, ideally within the hour during business hours. The longer you wait, the more likely the caller has found someone else or forgotten why they called.

Should you text or call back a missed call?

Call first, because a conversation is what gets the booking. If they don't answer, leave a short voicemail and send a text with your business name, so they know who called and can reply when it suits them.

Can missed calls be answered automatically?

Yes. With Daber AI you keep your number and set call forwarding so that only the calls you don't answer go to the agent. Your phone rings first; if you can't pick up, the agent answers, helps the caller or books them in, and every call is saved with a transcript and a summary. It can also make callbacks as outbound calls.

    Call the agent now

A real call, not a recording. Exactly what your callers would hear.

    Have the agent call me

Leave a number — the agent calls you in under a minute.
