    Appointment confirmation call script

A short outbound call that confirms the appointment, moves it if it has to move, and frees the slot for someone else if it's cancelled.

    The short answer

What do you say on an appointment confirmation call?

Say who you are and why you're calling in the first sentence, then give the appointment details and ask a yes-or-no question: "Hi, this is [Your name] from [Business name], calling to confirm your [service] on [day] at [time]. Does that still work?" If yes, remind them of anything to bring and wrap up. If no, offer two new times right away. If nobody answers, leave a short voicemail with the details and a way to call back.

    The full script

The usual call: the customer confirms. It takes under a minute.

You: Hi, is this [Customer name]?

    Customer: Yes.

You: Hi [Customer name], this is [Your name] from [Business name]. I'm calling to confirm your [service] on [day], [date], at [time]. Does that still work for you?

    Customer: Yes, I'll be there.

You: Great. Just a reminder to [bring your insurance card / arrive 10 minutes early / leave the gate unlocked].

You: If anything changes, call us at [phone number]. See you on [day]!

    Short version

For a long list of calls, or customers you call every visit.

You: Hi [Customer name], it's [Your name] from [Business name]. Confirming [service] on [day] at [time]. Still good?

    Customer: Yes.

    You: Great, see you then.

    If they need to reschedule

Customer: Actually, I can't make it.

You: Thanks for letting me know. I can move it to [day] at [time] or [day] at [time]. Would either work?

    Customer: [Choice].

You: Done. You're now booked for [day] at [time], and I've released the old slot.

    If they want to cancel

    Customer: I'd like to cancel.

You: No problem, I've cancelled it. Would you like to book another time now, or get back to us when you're ready?

You: [Only if you have a late-cancellation fee: Just so you know, cancellations less than [24 hours] before are charged [amount].]

If they ask the price or are annoyed by the call

Customer: Remind me, how much is it?

You: [Service] is [price], paid [at the visit / by card on the day]. Anything extra is agreed with you before we start.

    Customer: I never booked anything.

You: Sorry for the confusion. I have an appointment under [Customer name] for [day] at [time]. Would you like me to cancel it?

Customer: Why do you keep calling me?

You: Sorry about that. I'll note not to call you with reminders and send them by text instead. Is that OK?

    Voicemail

You: Hi [Customer name], this is [Your name] from [Business name], calling to confirm your [service] on [day] at [time]. If that still works, there's no need to call back. If you need to change it, call us at [phone number] or reply to the text we sent. Thanks, and see you on [day].

    Tips for confirmation calls

A confirmation call should feel like a favor to the customer, not a sales call. Keep it short and make changing the appointment easy.

    • Call one or two days before: close enough to remember, early enough to fill a cancelled slot.
    • Say why you're calling in the first sentence.
    • Ask a question they can answer with yes or no.
    • Keep the calendar open so you can rebook on the spot.
    • When a slot frees up, call your waitlist right away.
    • Keep a record of who confirmed, who moved and who didn't answer.

    How to adapt this script

    1. 1Pull tomorrow's list from your calendar or booking system: name, phone, service and time.
    2. 2Fill in the placeholders, and write the one reminder that matters most for your business.
    3. 3Decide your rule for no answer, for example one call and a voicemail, then a text.
    4. 4Decide what you say about late cancellations, if you charge for them.
    5. 5To make the calls automatically, a Daber AI agent can run them as an outbound campaign, and each call is saved with a transcript and a summary.

    Questions

When should you make appointment confirmation calls?

One to two business days before the appointment, during normal hours. That's close enough that people remember their plans, and early enough that you can offer a cancelled slot to someone else.

Is a call or a text better for confirming appointments?

A text is quicker and many people prefer it; a call gets a real answer and lets you rebook on the spot. Many businesses do both: a text first, then a call to anyone who hasn't replied.

Can an AI agent make confirmation calls?

Yes. Daber AI runs outbound calls and campaigns: give it the list and a script like this one, and the agent calls each person, confirms or moves the appointment, and can send a text. With Calendly connected it can reschedule or cancel the booking itself. Every call is saved as a recording, a transcript and a summary.
