    Appointment booking phone script

The lines that get a caller from "I'd like to book" to a confirmed time, with every detail right.

    The short answer

What do you say when booking an appointment over the phone?

Ask what the appointment is for, then offer two specific times instead of asking when the caller is free: "I have Tuesday at 10 or Thursday at 3. Which works better?" Take the name, phone number and anything you need to prepare, then read the booking back: the day, the date, the time, the place and what to bring. Finish with how to reschedule. The script below also covers a caller who wants another time, asks the price, or is unhappy there's nothing sooner.

    The full script

Have the calendar open before you pick up. Replace everything in square brackets.

You: Good morning, [Business name], this is [Your name]. How can I help?

Caller: I'd like to book an appointment.

You: Of course. What's the appointment for?

    Caller: [Service].

You: Have you been to us before?

    Caller: [Yes / No].

You: Great. I have [day] at [time] or [day] at [time]. Which works better for you?

    Caller: [Day] at [time].

You: Perfect. Can I get your full name and the best number to reach you?

    Caller: [Name], [number].

You: Is there anything we should know before the visit? [For example: the car's make and model / any allergies / the exact address.]

    Caller: [Details].

You: Let me read that back. [Service] on [day], [date], at [time], at [address]. Please bring [what to bring] and arrive [10] minutes early.

You: If anything changes, just let us know at least [24 hours] ahead and we'll find you another time.

    Caller: Great, thanks.

You: You're all set, [Name]. See you on [day].

    Short version

For a returning customer who knows what they need.

You: [Business name], [Your name] speaking. How can I help?

Caller: I need an appointment for [service].

You: Sure. [Day] at [time] or [day] at [time]?

    Caller: [Choice].

    You: Name and number, please?

You: Booked: [day], [date], at [time]. See you then.

    If neither time works

Caller: Neither of those works for me.

You: No problem. Are mornings or afternoons better, and which days are easiest?

    Caller: [Preference].

You: The first [morning] I have is [day] at [time]. Shall I take it for you? If something earlier opens up, we'll call you.

If the caller asks the price

Caller: How much will it be?

You: [Service] is [price]. [It includes [what's included]. / Anything extra is agreed with you before we start.]

    Caller: OK.

You: Shall I keep [day] at [time] for you?

If they're unhappy there's nothing sooner

Caller: Next week? I need something sooner.

You: I understand. The earliest I have right now is [day] at [time]. I can book that, and call you straight away if an earlier slot opens.

You: And if it can't wait, [your urgent option: we keep a few same-day slots / our other location has [day] / call [phone number]].

    Tips for booking calls

A booking call is short when the caller has something concrete to say yes to, and when you only ask what you need.

    • Offer two times. "When are you free?" turns into a long back-and-forth.
    • Have the calendar open before you pick up.
    • Ask only what you need to prepare; take the rest at the visit.
    • Read the booking back, with the date and not just the day of the week.
    • Say your reschedule rule on every call, so it's never a surprise later.
    • Send a written confirmation by text or email after the call.

    How to adapt this script

    1. 1Fill in the placeholders and list your services with how long each one takes.
    2. 2Write the questions you must ask for each service (the car's make for a garage, a new or returning patient for a clinic).
    3. 3Set your reschedule and cancellation rule, and say it the same way every time.
    4. 4Decide what you offer when there's nothing soon: a waitlist, same-day slots, another location.
    5. 5If an AI agent will take bookings, connect Google Calendar or Calendly so it only offers times that are free.

    Questions

Why offer two times instead of asking when the caller is free?

Because it's faster and easier to answer. Most callers don't know their week by heart, and an open question leads to several rounds of "what about…". Two concrete times give them something to say yes to; if neither works, ask morning or afternoon and narrow it down from there.

What information should you take when booking by phone?

At minimum: the caller's full name, a phone number, the service, and the day and time. Add only what you need to prepare, such as a car's make and model, an address for a home visit, or whether they're a new patient. Read it all back before you hang up.

Can an AI agent book appointments on the phone?

Yes. With Google Calendar or Calendly connected, a Daber AI agent checks availability, offers open times and books the appointment during the call. With Calendly it can also reschedule or cancel. You decide what it asks before it books, and every call is saved as a recording, a transcript and a summary.
