    After-hours phone script

For whoever picks up when the office is closed: the owner's mobile, an on-call tech, an answering service or an AI agent. For a recorded message instead, use the free after-hours message generator in our tools.

    The short answer

What should you say when you answer a call after hours?

Tell the caller they've reached the business after hours, then find out quickly whether it's urgent: "Thanks for calling [Business name]. We're closed for the day, but I can help. Is this urgent, or can it wait until [opening time]?" Urgent calls follow the rule you set in advance: a transfer to the person on call, or clear instructions. Everything else gets booked or written down, with a callback time that you then keep.

    The full script

A routine call that can wait until morning. Replace everything in square brackets.

You: Thanks for calling [Business name]. We're closed for the day, but I can still help. What's going on?

    Caller: [Describes the issue].

You: Thanks. Does this need attention tonight, or can it wait until [opening time] [tomorrow]?

    Caller: It can wait.

You: OK. Can I get your name, the best number to reach you, and [the address / your account or order number]?

    Caller: [Details].

You: Thanks, [Name]. [I can book you in now: the first opening is [day] at [time]. / I'll pass this on, and someone will call you by [time] [tomorrow].]

You: Is there anything else I should note?

    Caller: No, that's all.

You: Thanks for calling, [Name]. Talk to you [tomorrow].

    Short version

For the owner answering on a mobile at 9 p.m.

You: [Business name], we're closed for the day. Is this urgent, or can it wait until [opening time]?

    Caller: It can wait.

You: Name, number and a quick note on what you need?

You: Got it. We'll call you by [time] [tomorrow]. Good night.

    If it's urgent

Caller: It's urgent. [Water is leaking / the system is down / I'm in pain].

You: Understood. First, your name, address and a callback number, in case we get cut off?

    Caller: [Details].

You: Thanks. [I'm connecting you to our on-call [technician] now. / Our on-call line is [phone number]; they answer around the clock.]

You: If anyone is in danger, hang up and call [your local emergency number] now.

If the caller asks the price

Caller: How much is an after-hours visit?

You: [After-hours visits are [price] plus parts. / Our standard rate is [price]; after-hours work is quoted before we start.]

You: Would you like someone tonight, or the first slot [tomorrow] at the normal rate?

If the caller is upset nobody answered

Caller: Why is nobody there? I've been trying all day.

You: I'm sorry, that's frustrating. I'm here now and I'll make sure this gets handled. What do you need?

    Caller: [Explains].

You: [Handle it.] I've marked this as a priority, and [Name] will call you first thing at [opening time].

    Tips for after-hours calls

After hours, the job is to sort calls fast: the urgent few get help now, and everyone else gets a clear promise for the morning.

    • Decide in advance what counts as urgent, and write it down. The person answering at 11 p.m. shouldn't have to decide alone.
    • Ask about urgency early, so routine calls stay short.
    • Take a callback number before you transfer anyone.
    • Promise a callback time you can keep, and keep it.
    • For anything life-threatening, always point to the local emergency number.
    • Go through the after-hours notes first thing the next morning.

    How to adapt this script

    1. 1List what counts as urgent for your business, and what happens with each: a transfer, instructions, or a call first thing in the morning.
    2. 2Name the on-call person or number for each night, if you have one.
    3. 3Write down your after-hours prices, if they differ from your normal rates.
    4. 4Fill in the placeholders and remove the lines that don't apply.
    5. 5If an AI agent answers after hours, give it the urgent list and the transfer number, and it follows the same rules every night.

    Questions

Should after-hours calls go to voicemail or be answered?

Voicemail works when nothing can happen until morning. If after-hours callers are often ready to book or have something urgent, a live answer turns them into appointments and catches real emergencies. Many businesses use an answering service or an AI agent after hours and keep voicemail as the last fallback.

How do you handle an emergency call after hours?

Follow a rule you set in advance: connect the caller to the person on call, or give clear instructions. Take their name, address and number first, in case the line drops. If anyone's safety is at risk, tell them to hang up and call the local emergency number.

Can an AI agent answer after-hours calls?

Yes. A Daber AI agent can answer every call outside your hours, answer questions from your knowledge base, book appointments when a calendar is connected, take messages, and transfer urgent calls to the person on call. You can keep your number and forward only the calls you don't answer, so your phone still rings first.

    Call the agent now

A real call, not a recording. Exactly what your callers would hear.
