Book appointments from phone calls straight into Google Calendar
The agent checks your calendar, offers open times, and creates the event before the caller hangs up.
The short answer
Can an AI receptionist book appointments in Google Calendar?
Yes. Connect Google Calendar to Daber AI and the phone agent can list your calendars and events, check when you're free, and create the appointment while the caller is still on the line. You set the rules in its instructions: which appointment types, how long they take, and which hours to offer. The connection creates events; it doesn't move or cancel existing ones, so those requests are taken as a message or passed to a person.
What the agent can do in Google Calendar
Without a calendar connection, an AI receptionist can only take a booking request and pass it on. With Google Calendar connected, it books for real. Google's Calendar API returns free and busy times for a set of calendars and creates events, and that is what the agent uses mid-call.
- List the calendars it can see, so it books on the right one, such as a specific stylist's or a treatment room's.
- Read events and check availability for the day and time the caller asks about.
- Create the event with the caller's name, phone number and reason for the visit in the details.
- Text the caller a confirmation afterwards with the built-in SMS tool, if you turn that on.
Google Calendar or Calendly?
Both work with Daber AI. They suit different setups.
| Task | Google Calendar | Calendly |
|---|---|---|
| Check availability | Yes | Yes, from your event types |
| Book | Yes, creates the event | Yes, books the invitee |
| Reschedule or cancel | No, taken as a message | Yes |
| What the caller must give | Whatever your instructions ask for | Name, email and time zone, which Calendly requires |
| Booking rules | Set in the agent's instructions | Set in Calendly's event types |
What you need to connect Google Calendar
A Google account with access to the calendar you want booked. To book on someone else's calendar, that person shares it with the connected account with a permission that allows making changes to events; Google's sharing settings name these levels.
- 1Sign up for Daber AI and build your agent, or open the one you have.
- 2Add Google Calendar from the tools you can connect, sign in with the Google account and approve access.
- 3Test the connection and turn Google Calendar on for the agent.
- 4Write the booking rules into the agent's instructions: appointment types and lengths, the hours you take bookings, which calendar to use, and when to hand off to a person instead.
- 5Make a test booking from your browser and check that the event appears where you expect.
An example call
Someone calls a hair salon on Saturday evening and asks for a cut and color next week. The agent's instructions say color appointments take two hours and only Dana does them. The agent checks Dana's calendar, offers Tuesday at 10 and Wednesday at 2, and the caller takes Wednesday. The agent creates the event with the caller's name, number and the service, then texts a confirmation. On Monday morning the salon sees a booked appointment, not a voicemail asking for a call back.
Where it stops
Know what the Google Calendar connection doesn't do before you send real callers to it:
- It doesn't move or cancel existing events. The agent takes those requests and passes them on, or transfers the caller. If callers often reschedule, Calendly handles that.
- It only knows the rules you write. Buffers, prep time and who does which service belong in the agent's instructions.
- It can only book on calendars the connected account can change.
- If you only want the agent to read availability, a public iCal calendar feed works too, read-only.
Questions
Can the agent double-book me?
It checks availability on the calendar before it offers a time, so it won't offer a slot that's already busy there. Anything kept outside that calendar, such as a paper diary or a second calendar it can't see, it can't know about.
Can it book across several staff calendars?
Yes, if the connected account can see and change those calendars. Your instructions tell the agent which calendar goes with which service or person.
Can callers reschedule or cancel by phone?
Not through the Google Calendar connection. The agent takes the request and passes it to you, or transfers the caller to a person. Calendly supports rescheduling and cancelling if that matters for your business.
Does it book outside business hours?
It answers whenever calls come in, so it can book at night or on weekends into the hours you allow. Booking after hours is often where it helps most.
