Let callers book your Calendly by phone

The agent finds the right event type, offers open times and books the caller, and Calendly sends its usual confirmation.

    The short answer

Can an AI receptionist book Calendly meetings over the phone?

Yes. With Calendly connected, a Daber AI phone agent can list your event types, check open times, and book the caller into a slot during the call. It can also reschedule or cancel a booking when the caller asks. Calendly's Scheduling API needs a paid Calendly plan and the invitee's name, email and time zone, so the agent collects those before it books. Calendly then sends the notifications your event type is set up to send.

What the agent can do in Calendly

Calendly built its Scheduling API so an app can book a meeting for an invitee with no Calendly page in between, and it describes booking during phone conversations as one of the uses. Daber AI's Calendly connection lets the agent do the whole booking while the caller is on the line.

    • List your event types, so it books the right one: a 15-minute intro call, not the 60-minute consultation.
    • Check open times for that event type and offer two or three that fit what the caller asked for.
    • Book the caller into the slot they choose.
    • Reschedule or cancel an existing booking when a caller asks.

What you need to connect Calendly

A paid Calendly plan: Calendly says customers must be on one to use apps that call the Scheduling API. Your event types and availability stay in Calendly, where you already manage them.

    1. 1Sign up for Daber AI and build your agent, or open the one you have.
    2. 2Add Calendly from the tools you can connect and sign in to Calendly to approve access.
    3. 3Test the connection and turn Calendly on for the agent.
    4. 4Tell the agent which event type fits which kind of caller, and to read the email address back before booking.
    5. 5Book a test meeting from your browser and check it in Calendly.

What the agent collects before it books

Calendly needs some details for every booking. The agent asks for them in conversation.

    DetailWhy
NameCalendly requires it for the invitee
Email addressRequired by Calendly; the confirmation goes there, so the agent reads it back
Time zoneRequired by Calendly, so the time the caller hears is the time they get
Location detailsOnly when the event type asks the invitee for a location or a phone number to call

    An example call

A small law firm takes new-client calls through Calendly. A caller asks to talk to someone about a lease dispute. The agent asks a few intake questions, picks the free 20-minute consultation event type, and offers Thursday at 11 or Friday at 3. The caller takes Friday. The agent spells back the email address, books the slot, and tells the caller to expect Calendly's confirmation email. A week later the same caller phones to move it; the agent reschedules to Monday.

    Where it stops

A few limits come from Calendly and a few from the phone itself:

    • It books only open slots. Calendly rejects a start time that isn't a valid open slot, so the agent can't squeeze someone in.
    • Email addresses are easy to mishear on a phone line. The agent reads them back, and you should tell it to.
    • It doesn't change your event types, availability or routing; those stay in Calendly.
    • On a free Calendly plan, the agent can't book through the Scheduling API. Google Calendar is the alternative.

    Questions

Does it work on Calendly's free plan?

No. Calendly says customers must be on a paid plan to use applications that call its Scheduling API, which is how the booking happens. If you don't want a paid Calendly plan, connect Google Calendar instead.

Does the caller get a confirmation?

Calendly sends the invitation and notifications your event type is set up to send, to the email the caller gave. The agent can also text a confirmation with the built-in SMS tool if you turn it on.

Can callers move or cancel a meeting by phone?

Yes. The Calendly connection lets the agent reschedule or cancel a booking when a caller asks, under the rules you give it.

What if the caller won't give an email address?

Calendly needs one to book. The agent can take the request as a message, with the caller's number and preferred times, and pass it on for a person to book.
