    What is IVR?

Interactive voice response, the "press 1 for…" menu: how it works, where it helps, and where callers get stuck.

    The short answer

    What is IVR?

IVR (interactive voice response) is an automated phone system that greets callers with recorded prompts and lets them choose an option by pressing keys on the keypad or saying a short word. Based on the choice, it plays information, such as opening hours, or routes the call to a department, an extension or a queue. An IVR sorts callers but doesn't hold a conversation, so anything outside its menu still needs a person.

    How it works

An IVR runs a tree of recorded prompts. Each prompt offers a few options, and each option leads to another prompt, a recorded message or a destination.

    • The caller hears a greeting and a list of options.
    • They press a key or say a word, such as "billing".
    • The system plays a recorded answer, or transfers the call to an extension, a ring group or a queue.
    • If no option fits, the caller usually waits for an operator or leaves a message.

    Example

A dental clinic's line answers: "For a new appointment press 1, to change an appointment press 2, for billing press 3." A parent who wants to ask whether the clinic treats children presses 1 and waits for the front desk. If nobody is free, the call ends in voicemail. The menu sent the call to the right place, but it couldn't answer the question.

What it means for a small business

An IVR helps when calls really split into a few departments with people behind each one. When one or two people answer the phone, a menu mostly adds steps before the same busy line. An AI receptionist works differently: the caller says what they need in their own words, and the agent answers from the business's knowledge base, books the appointment, takes a message or transfers to a person. With Daber AI you don't have to remove an existing menu: the agent can take a single branch of it, only certain hours, or only the calls nobody answers.

    Questions

What is the difference between IVR and an AI receptionist?

An IVR offers fixed options and routes the call by the key the caller presses. An AI receptionist listens to what the caller says in their own words, answers questions, books appointments and takes messages, and transfers to a person when needed. An IVR sorts calls; an AI receptionist handles them.

    What does IVR stand for?

Interactive voice response. "Interactive" because the caller answers the system, by pressing keys or speaking, and the system responds with the next prompt.

Is an IVR the same as an auto attendant?

Close, and many people use the words interchangeably. An auto attendant usually means the simple greeting and menu that routes calls to extensions. An IVR can do more, such as reading account details back to the caller from a database.
